Introducing users to Microsoft teams

Recently many Office 365 users have been fully converted from Skype for business to Microsoft Teams.

 

Luckily, this isn’t a bad thing. Microsoft Teams is rapidly becoming the number one communication platform of choice. Especially within businesses. The main reason is that it offers a wide variety of advantages for Office365 users.

 

The main problem users are finding is that it is new, different and confusing.

 

One route is to get training set up for your office and to educate users on all the features and aspects it offers. Aside from Managed IT Support and services, we do offer training services.

However, we feel that a simple cheat sheet of the features it offers will be a great solution for users in the meantime. So here is a brief overview of some of the features we think will be vital to your working day:

1. Schedule and host Meetings!

 

Literally, from inside Teams you can choose the participants, time, and location. Better yet, you can then use that meeting window as the actual chat window (voice, video, and text!)

 

 

Using these handy buttons in the top right corner of a chat window, you can instantly communicate via voice and video (granted your recipient wants to pick up!)

 

2. Bots!

 

A newer feature of chat programs is that automated bots are built into their services. Teams is no different. Bots are large text files programmed to locate and deliver answers to questions. Think of them like FAQ’s that only show the answer to your specific question.

 

 

There are lots of bots that you can install and then use within your chats and groups. Here are some of the best ones we recommend:

 

  • T-Bot
    Designed to help you with any burning questions you have about Microsoft Teams!

  • Polly
    A great way to add polls to team chats and groups

  • Adobe sign
    Add e-signatures to communications so you can get sign off instantly

  • Tasklist
    Add a range of tasks and assign them to users so you can keep everyone on track

  • MeetingRoomMap
    Not sure if a meeting room is free? This app tracks it all for you, giving you a full view of future bookings

 

3. GIFs!

 

How didn’t you see this coming?

GIFs are the constant in daily communication between colleagues, so it’s no surprise that you can now easily insert GIFs into any conversation.

 

 

There are rumors that Microsoft will eventually allow users to upload their own custom GIFs, but for now, it’s still a pipedream…

 

4. Add tabs into your chat windows!

 

The beauty of teams allows users to collaborate directly within the Teams program. Simply hit the ‘+’ icon and you can choose from a wide range of Office 365 apps.

 

 

Once an app is added, it means that both participants for the chat can use that app within the window. Collaborating in real time on a file, document or spreadsheet has never been easier.

 

5. Your files are stored!

 

Within you teams window you will have a tab allocated called ‘Files’ and essentially it’s a vault full of all the files sent between you and your recipients.

 

 

No longer do you need to store files locally, as Teams stores it all in the cloud – accessible anywhere from any machine, just by logging in!
