Microsoft Teams and Skype for business, being aware before your upgrade!

Skype for business has been a revolutionary and handy tool for businesses. However, Microsoft is planning to replace a lot of its functionality with teams.

 

Microsoft is working towards having teams as the ultimate solution for communication within organisations and It’s not hard to see why.

 

Microsoft Teams is built with the capability to create video and voice calls like Skype but allows real-time collaboration within the app seamlessly using the suite of Microsoft Office programs (Word, Excel, Powerpoint etc.)

 

Aside from this, Teams also syncs content directly to SharePoint. You can read more about how SharePoint is a powerful tool for businesses here.

 

In this case, we thought we would alert users of Skype for Business to the different options there are, before it is eventually removed. At this moment in time, Microsoft is allowing both to coexist, but in some cases a ‘Teams only’ option has been made mandatory for organisations.

 

Evaluate how you use Skype for business currently – would you miss it?

 

There are a few ways that organisations have adopted Skype for business into their working day:

 

  1. Communicating over Instant messenger

    The instant messaging tool from SFB is lightweight and gets the job done. Allowing users to log in using their office 365 account data, they can contact other members in their network.

  2. Booking meetings using the Skype for business meetings button

    One of the most helpful ways SFB aligns with Outlook is the ability to send meeting invitations in an email, or in reply to a message you have received.

  3. Making voice and video calls internally and externally

    Probably the primary use for Skype for business is being able to hold video and voice calls with other users over an internet connection. Again, letting you contact other members in your network.

 

Can Teams do all that? Yes. Essentially all that and a lot more…

What changes will you see?

Microsoft is rolling out the option for organisations to either choose to adopt the changes and become ‘Teams only’ or have both applications run side by side – in a coexist mode.

 

However, some organisations have their preferences set by Microsoft and cannot be changed. This will show that ‘Teams only’ is the default option. Below is an example of this:

The main change we envisage being a sticking point for many companies is the loss of the ‘Skype for business meeting’ button available on Outlook.

However, the actual output when using the Teams button is eerily similar:

 

 

The fix?

There is currently one way to work around this, by using the Skype web scheduler. Which is still available and able to sync to Outlook calendars. We do predict that this will be discontinued in the coming months though. We recommend using this until your key contacts have moved over to Teams.

 

To use the web scheduler, simply head to
https://sched.lync.com/
And login using your Office 365 credentials.

 

Otherwise, we do recommend switching to Teams. The application is much more powerful and allows many more options when communicating with users on your network. As well as people from outside your organisation.
